India Post's tracking system does not update in real time — scan data is uploaded in batches, often at the end of a shift or when an article reaches the next sorting facility. A gap of 24–48 hours between scans is routine, especially on long-distance routes or when the parcel passes through smaller branch offices.

Batch scanning — data is not uploaded in real time

India Post offices do not scan and upload every event the moment it happens. Transaction details are recorded in software and pinged to the central server at the end of shifts — sometimes only once or twice between shifts. A 12–24 hour gap between physical movement and online update is standard, not a sign of trouble.

The parcel is in transit between sorting hubs

Long domestic legs — say Delhi to Guwahati by rail or road — can take 1–3 days without any intermediate scan. The article is physically moving but will not show a new event until it arrives at the next sorting or delivery office. This is especially true for routes that pass through rural areas or smaller states without major mail hubs.

You just booked — the first scan has not happened yet

If you booked your Speed Post late in the evening, on a Sunday, or at a small branch office, the first scan may not appear online for 12–24 hours. The tracking number is valid and printed on your receipt, but the system shows "No record found" or "Item Booked" with no further events until the article is processed the next working day.

The official tracking server handles millions of queries daily. During peak hours or maintenance windows, results can be slow, incomplete, or temporarily unavailable. Wrong or mistyped consignment number

Festival or holiday scan backlog

During Diwali, Holi, Christmas, Eid, state-specific holidays, and election periods, mail volume surges while staffing drops. Sorting centres process articles in batches that get scanned late — sometimes 2–3 days behind. The parcel is not stuck; the scanning staff is catching up. If your tracking has not moved during or right after a major holiday, give it 2–3 extra working days before worrying.

Wrong PIN code — parcel routed to the wrong office

If the sender wrote an incorrect PIN code, the parcel gets sent to the wrong delivery office. That office cannot deliver it (wrong area), so it gets internally rerouted — but this rerouting often happens without any scan, creating a "tracking blackout" that can last 3–5 days. Double-check your consignment number

Pull out your original booking receipt and compare the number character by character. A Speed Post consignment number is always 13 characters — two letters, nine digits, and two letters (e.g. EE123456789IN). Common mistakes:

  • Mixing up 0 (zero) and O (letter)
  • Mixing up I (letter) and 1 (one)
  • Missing a digit — counting only 12 characters instead of 13
  • Entering the barcode number instead of the consignment number

Wait 24 hours and check again

If you have confirmed the number is correct, tried multiple tracking methods, and the parcel was booked recently (within the last 2–3 days) — the most likely answer is batch scanning delay. Check again after 24 hours. If there is still no update after 3 working days, move to the escalation steps below.
