A wrong PIN code sends your article to the wrong sorting hub and causes days of delay. Verify with the recipient by phone or online lookup before writing on the packet.

Most post offices are cash-first. Some now accept UPI, but do not rely on it. Carry Aadhaar, PAN, or a driving licence in case ID verification is requested.

Packaging Guidelines — What to Use for What

India Post does not provide free packaging. Bring your own or purchase basic envelopes at the post office (some sell them, some do not). Match the packaging to the article:

Documents (letters, contracts)

A sturdy A4 envelope (paper or cloth). Fold if larger. For important documents, use a plastic sleeve inside the envelope to protect against rain/moisture during transit.

Small valuables (jewellery, cards)

Parcels (clothes, books, gifts)

Corrugated cardboard box with bubble wrap or newspaper filling to prevent shifting. Seal all seams with wide packing tape.

How to Write the Address Correctly

A messy or incomplete address is the number one cause of failed delivery. Write neatly in ballpoint pen (not pencil, not marker that bleeds). Use CAPITAL LETTERS if your handwriting is unclear.

PIN code on its own line, in larger digits
Include landmarks near the address ("Near ABC School", "Opposite XYZ Hospital")
Write the state name in full — Maharashtra, not MH
Never write only a PO Box unless the recipient specifically uses one

At the Post Office — Step by Step

Post office hours are typically 9 AM – 5 PM on weekdays and 9 AM – 1 PM on Saturdays. Speed Post booking usually stops 30 minutes before closing to allow dispatch that day. Go before 4 PM on weekdays and before 12:30 PM on Saturday if you want same-day dispatch.

Larger post offices have a dedicated Speed Post counter. Smaller ones handle everything at one counter. Look for signage or just ask "Speed Post kahaan?" — staff will point you.

The counter clerk gives you a small booking slip called EP-1. Fill in:

Hand over your article for weighing

The clerk places the packet on the electronic scale, enters the destination PIN code into the system, and the computer calculates the charge automatically. The rate depends on weight slab and distance zone.

The clerk announces the total (base rate + 18% GST). Pay in cash, or by UPI if the post office accepts it. Keep small change ready — many post offices struggle to break large notes.

Collect your printed receipt

The clerk prints a small receipt with your 13-character consignment number — this is your tracking number and proof of booking. Keep it safe. Take a photo of it on your phone as a backup.

Confirm dispatch time

Before leaving, ask "aaj ka dispatch ho jayega?" — this tells you if the article will leave the post office today or the next working day. Speed Post booked after 4 PM often goes out only the next morning.

Understanding Your Speed Post Receipt

The small thermal-paper receipt looks simple but contains everything you need. Here is what each line means:

Consignment Number (13 characters)

Weight and Weight Slab

Verified weight and which slab you were charged for. If a 480 g parcel shows "500 g" on the receipt, that is correct — India Post rounds up.

Base Charge, GST, Total

The base Speed Post charge, 18% GST added on top, and grand total. Verify this matches what you paid.

Booking Date and Time

Booking Post Office Name

Important if you ever need to file a complaint — this is the office where the record originates and where a Tracer form can be raised.

What to Do After Sending

Share the consignment number with the recipient

Message them the 13-character number and a tracking link. The recipient can track live on SpeedIndiaPost.com and know exactly when to expect delivery.

Track daily until delivered

7 Common Mistakes First-Time Senders Make

Skipping the recipient's phone number

Without it, the postman cannot call ahead. Missed deliveries jump dramatically.

Writing PIN code as a phone number style (with dashes or spaces)

PIN codes are 6 straight digits — 400703, not 40-07-03 or 4007 03.

Using thin envelopes for parcels

A soft envelope will tear during sorting. Always use a cardboard box for anything with volume.

Not verifying the address is on the same face as the tape/label

Address on one face, tape covering it — the postman cannot read it.

Booking late in the day for urgent items

Speed Post booked after 4 PM often does not leave the office that day. Go by 3 PM for same-day dispatch.

Losing the receipt

No receipt means no consignment number, no tracking, and no complaint. Always keep a photo.
